This explains what information Mship keeps about the people who use it, who can see it, who helps us look after it, and what you can ask us to do. We have tried to say it in plain words. If anything is unclear, write to us at learn@mshipmentors.com.

Who we are

Mship is a platform where independent mentors run one-to-one classes for students, and where students and their parents follow the progress. In this policy, “we” and “Mship” mean the team that runs the platform. For anything about your information, write to learn@mshipmentors.com.

What we keep, and about whom

Students

  • Name, class (grade), subjects, time zone, and a profile photo if one is added.
  • A phone number, a location and a few words about themselves, only if the student adds them.
  • Their classes and attendance, activities, exam results, and the weekly and monthly reports written about them by their mentor and our team.
  • Points, streaks and rewards, study notes they ask the AI to write and save, feedback they send, and help requests they raise.
  • When they order a reward: the name, phone number, address and notes needed to deliver it.

Parents and guardians

  • Name and email address, and a profile photo if one is added.
  • Which children are linked to the account (our team makes the link).
  • Fee records for their child, and the payment details they send us: amount, date, method, reference, and an optional screenshot or PDF.
  • Help requests, feedback, and their notification and email settings.

Mentors

  • Name, email address, phone number, a short bio, qualifications, years of experience and location.
  • Their classes, reports, earnings records and help requests.

Signing in is handled by our sign-in provider (see below). If you choose to turn on notifications on a device, we also keep what is needed to send them to that device.

Children

Many students are under 18. A parent or guardian is the contact for a child's account: our team links each student to their parent or guardian, and a parent or guardian agrees to these terms and this policy for their child as well as for themself.

We do not show advertising in Mship, we do not sell anyone's information, and we do not use a child's information to market to them.

Who can see what

  • A student sees their own records, a summary of their progress, and their own exam scores. They do not see their mentor's private notes or observations, or the team's internal notes.
  • A parent sees what concerns their own child: summaries, reports the team has chosen to share, attendance, exam results and fees. They do not see raw mentor notes or observations, or the team's internal notes.
  • A mentor sees the students assigned to them and the records they keep for those students. A mentor does not see a student's phone number or address.
  • Our staff (we call them CROMs) see the mentors assigned to them and those mentors' students. The Master CROM (the super admin) can see everything.
  • A child's phone number, address and delivery details can be seen only by the child themself and by the Master CROM. They are not shown in lists, in search, in notifications, in emails or in the record of staff actions, and a staff export includes them only for the Master CROM, who has to give a reason that is recorded.

We keep a record of important staff actions, such as changing a setting or approving a payment, so that we can check them later.

AI

Mentors and students can ask Mship AI to write study material, such as lesson notes, revision notes and practice questions. To do this we send a request to an AI provider.

What is sent

  • The student's class (grade), the subject, the chapter and the topic names.
  • Syllabus text our team has uploaded, so the AI writes from the syllabus.
  • For a mentor's lesson only, a little more so the lesson fits the student: a general level for how the student is doing, how many recent exams were below 60% (a count, never the marks), how many recent activities were completed, the topics covered in class, this month's plan focus, the first few words of an earlier version, and anything the mentor types into a follow-up request. A mentor can also tick "safe for AI" on up to three short standing notes about the student; only a note with that tick is ever sent. We refuse the tick on a note with an email address or a phone number, and mentors are asked to leave names out.
  • For "Explain this answer", the one question and its answer from the student's own saved practice set. For "Doubt help", the topic and one doubt chosen from a fixed list. Students type nothing for either.
  • For exams, notes, question sets and everything a student asks for, a second request asks the AI to check what it wrote. That request holds the text it wrote and the syllabus text it was written from.

What is not sent

  • No names (student, parent or mentor), no phone numbers, addresses or email addresses, and no ids.
  • No individual exam marks, and none of the text a mentor writes in a weekly report.
  • Notes a mentor keeps about a student, unless the mentor ticked "safe for AI" on that note.
  • Thumbs up or down and "flag this answer" reasons. Those are only counted and read by our team; they are never sent to the AI.

The AI provider can be changed by our administrators; it is Anthropic's Claude unless they choose another service. If they set up a second provider as a back-up, the same request can be sent to it when the first one is down or too slow. Anything an AI writes is for study only and can contain mistakes (see the Terms).

Who else handles information for us

  • Our sign-in provider (Clerk) handles sign-in: your email address and how you sign in (a password, Google or Apple). We never see your password.
  • Our email service (Resend) sends the emails we send: fee reminders and notifications to parents, and notifications to mentors. It receives the address it sends to and the message.
  • The AI provider described above.
  • Our hosting provider, which runs the website and the server, and a managed database service, where the records are stored.
  • Web push services run by your browser's maker, only if you turn on notifications on a device.
  • Payment screenshots and PDFs are kept in our own database, not with a separate file service.
  • Classes are held on Google Meet or a similar service using a link the mentor sets; that service has its own privacy policy.

We do not use advertising or analytics trackers on the website or in the app.

We store sign-in cookies set by our sign-in provider, and a few small settings in your own browser, such as your theme and drafts you have not sent yet.

Payments

Mship has no payment gateway. Fees are paid outside the app, to the payment details we show a parent. A parent can then tell us about the payment in the app, with a reference and, if they wish, a screenshot or PDF as proof. Our staff review it and approve or reject it. A payment proof is private: it is kept in our database, opened only by short-lived links, and seen only by that family and the staff who review it. A picture is re-saved when it is uploaded, which removes the hidden details such as location that some photos carry.

How long we keep information, and deleting it

We keep an account's records while it is in use, because classes, reports and fees depend on them. We do not delete accounts automatically.

Some things can be removed now:

  • A student can delete study notes they saved, and a student or parent can remove their profile photo.
  • Our staff can erase a child's delivery details after a reward is delivered or cancelled.
  • Devices you stop notifications on are forgotten, and a device that stops working is dropped.
  • Staff can replace or remove a report file they uploaded.

Fee records and the record of staff actions are not erased; if a mistake is made it is corrected with a new entry, so that accounts stay accurate and can be checked.

To ask us to delete your information, or your child's, write to learn@mshipmentors.com. We will reply to say what we have removed and, if we have to keep something, what it is and why.

Your rights, and your child's

If you are in India, the Digital Personal Data Protection Act, 2023 gives you rights over your information, and a parent or guardian has these rights for a child. In simple words you can ask us to:

  • tell you what information we hold and how we use it (access);
  • correct anything that is wrong or out of date (correction);
  • delete information we no longer need (erasure);
  • take back a consent you gave (withdraw consent), knowing that we may then not be able to keep an account running;
  • hear and answer a complaint (grievance), and name someone to act for you if you cannot.

We ask for a parent or guardian's agreement before we keep a child's information. Write to learn@mshipmentors.com for any of the above. Names on accounts are set by our team, so ask us if a name needs to be corrected.

Changes to this policy

If we change this policy in a way that matters, we will update the date at the top and ask parents and students to read it and agree again the next time they sign in. You can read the Terms too.
